Scale, Precision, and a Single Show Spanning Two Worlds
The Brief
PSP Exhibitions was asked to deliver end-to-end AV and technical production across two keynote theatres, 18 graphic and audio record setups, seven camera and audio record setups, and a full d&b sound system for the evening drinks reception. In addition to the main show floor, the scope extended to the Platinum Suites upstairs, where PSP Exhibitions managed all records and digital signage across five conference rooms.
Working alongside Euro Presentations and their technicians on the Learning Technologies side of the exhibition, PSP Exhibitions also took responsibility for all digital signage on the show floor, with 88 exhibition screens requiring consistent management throughout the event.
Post-event, PSP handled the editing and delivery of all recordings to an online platform, meaning the team's responsibility extended well beyond the live days themselves.
The Delivery
The two keynote theatres formed the backbone of the production. Each was built around twin 14ft projection, a d&b sound system, and Shure Axient Digital microphones, giving presenters and panellists reliable, broadcast-quality audio throughout..
Alongside the keynote theatres, 18 graphic and audio record setups were deployed across the show. These allowed exhibitor presentations, seminars, and sessions to be captured consistently throughout the event. Seven camera and audio setups added a video recording layer, supporting both live capture and the post-event edit and delivery process.
All keynote visuals and artwork were produced in-house by PSP Exhibition’s own design team, giving the client a single point of contact for both the creative and technical elements of the keynote experience. This kept the process efficient and ensured that the visuals were built specifically around the production setup from the start.
In the Platinum Suites, PSP managed five conference rooms, handling all records and digital signage in parallel with the main floor activity below. Co-ordinating across this many spaces and two floors required precise scheduling and a crew that could adapt quickly as requirements shifted throughout the day.
The evening drinks reception rounded out the live days, with a full d&b sound system deployed to support the event and give attendees a consistent audio experience from the morning's first keynote through to the close of the evening.
Kit Callout: Shure Axient Digital Wireless
In a venue running across multiple floors, theatres, and conference rooms simultaneously, wireless audio management is one of the most demanding elements of the production. The Shure Axient Digital system was specified here precisely because of the environment.
Axient Digital offers Quadversity mode, which uses up to four antennas per receiver for enhanced signal stability, and Predictive Switching technology that moves to a clear frequency before any dropout occurs. In practice, this means that even with dozens of wireless channels active across the venue, every presenter has a reliable, clean signal from the moment they step on stage to the moment they hand the microphone back.
For an event of this scale, with keynote speakers, panel sessions, and seminar presenters all running at the same time, that reliability is not optional. It is the foundation everything else is built on.
The Team
Delivering a project at this scale requires more than the right equipment. The crew on this show included four Project Managers, 26 AV technicians, seven camera operators, and 16 local crew, supported by two articulated lorries, a 17-tonne vehicle, and a 7.2-tonne vehicle for logistics.
Below is a summary of the production resource deployed across the event.
4 Project Managers
26 AV Technicians
7 Camera Operators
16 Local Crew
88 Exhibition Screens
2 LED Walls
2 Articulated Lorries
1 x 17T Vehicle + 1 x 7.2T Vehicle
The Result
LT&HR ran to schedule across all spaces. All 88 exhibition screens were managed throughout, all keynote and conference sessions were captured, and post-event recordings were edited and delivered to the client’s online platform on time.
Working alongside Euro Presentations on the Learning Technologies floor, PSP maintained a clear division of responsibilities and a collaborative approach that kept both teams aligned throughout the event. The scale of the show added logistical complexity, but the planning put in ahead of the build meant the live days were controlled and efficient.
The in-house design team's involvement in keynote visuals meant the client had one less relationship to manage, and the consistency of the creative output reflected that.
When a show spans two audiences, two floors, and 88 screens, the difference is the team you trust to deliver.
